Invoices and payments

Invoices follow the payment schedule of the signed work order. Each milestone is invoiced once.

From milestones to invoices

• On signature: milestones due on signature are invoiced as soon as the work order is approved.
• Later milestones: invoiced when they are reached, for example on test deployment or on acceptance.
• The final invoice: the last milestone deducts every earlier invoice. All invoices of a work order add up to its total, VAT included, to the cent.

Leeway sends each invoice to your focal point, with the PDF and a link to the invoice page on billing.leeway-im.com.

What an invoice contains

Invoice Number, Invoice Date, Due Date, Reference (the work order and the milestone) and Source Document. Then the Charge Details, Subtotal, VAT, Total, Amount Paid and Amount Due. Under them: Payment Terms, the Bank Transfer details and any notes.

Paying

Open the invoice link and click Pay Now. Choose one of two methods:

• Bank transfer. The page shows the account holder, bank and IBAN, the same as on the invoice. Quote the invoice number (for example INV/2026/00006) as the payment reference. Leeway marks the invoice paid when the transfer arrives.
• Card. Card payments are processed by Stripe. Leeway never sees your card number. The invoice is marked paid as soon as Stripe confirms.

Pay within the days stated in Payment Terms, usually 30 days from the invoice date.

When an invoice is paid

• You receive an email with the paid invoice PDF, showing Amount Paid and Amount Due 0.00, and a short receipt.
• The invoice page shows the payment status, and the bank block is removed.
• A payment receipt with the payment date, method and amount received is available on request.

Reminders and corrections

If an invoice is overdue, Leeway may send one reminder by email. There are no automatic reminder series. A mistake on a posted invoice is corrected with a credit note, which carries its own number and names the invoice it reverses.
